Virginia childcare
Licensing records,
done on a phone.
36MDC is a mobile recordkeeping workflow for Virginia child day centers. Staff complete attendance, injury, medication, and drill records once, at the moment they happen.

The day-to-day problem
An injury record from three weeks ago should open in one tap, not turn up in a binder.
Directors and classroom leads are asked to do two things at the same time: supervise children and create licensing-grade records. In practice, attendance gets backfilled, injury details get cleaned up after the fact, drill logs live in a binder, and medication paperwork depends on whichever staff member happened to be on duty.
Paper can satisfy the rule in theory. It does not hold up when an injury needs same-day review, a parent disputes what happened, or a licensing inspector asks for a record from three weeks ago.

What we'd build for your center.
Six forms, mapped directly to Virginia child day center rules. Built once, used across every classroom.
- 01
Incident and injury record
Highest legal weight, easiest paper-to-mobile win. Required Virginia fields are enforced and time-stamped automatically.
Child, date, time, injury type, description, treatment, parent notification time, follow-up, signatures, and optional photos.
- 02
Medication authorization and administration
Highly repeatable and immediately useful where paper logs get fragmented across shifts.
Child, medication, dosage, schedule, parent authorization, administering staff, administration time, optional physician section, optional adverse-reaction subform.
- 03
Daily attendance
Universal, high-frequency, habit-forming. Drives adoption of the rest of the pack.
Child, classroom, arrival and departure timestamps, optional pickup person checked against the authorized-release list.
- 04
Emergency drill log
Clear regulatory anchor and easy to roll out across multiple sites without re-templating.
Drill type, date, time, classroom or site, completion status, weather (for evacuations), issues observed, corrective action.
- 05
Daily health observation
Drives daily adoption without requiring full medical complexity. Captures exclusion and follow-up cleanly.
Child, observation time, pass or refer, symptoms observed, temperature when needed, exclusion decision, return criteria.
- 06
Classroom safety checklist
The right expansion form once the compliance core is in place.
Classroom, inspection time, inspector, hazards yes or no, corrective-action owner, due date, before-and-after photos.
Where 36MDC fits
Not a full childcare management system.
36MDC is the offline field-record layer for the forms, logs, inspections, incidents, and corrective actions that still happen on paper, clipboards, spreadsheets, email threads, or disconnected tools.
- Nottuition billing or family payments
- Notparent communication apps
- Notenrollment and waitlist management
36MDC sits alongside whatever you use for billing, enrollment, and parent communication. We are the layer for the licensing records the state asks about.
What your office gets
Field records become business data.
Once records sync, the office can search, export, audit, and report on them. The first workflow usually reveals the larger opportunity.
- 01
Find a record fast
Pull an injury record from three weeks ago in one tap. Filter by child, classroom, or staff. The licensing inspector sees a complete record, not a binder pile.
- 02
Export cleanly
Export every drill log between two dates. Hand a parent a clean copy of an incident record without redactions.
- 03
Track exceptions
See every medication missed, every drill incomplete, every injury without follow-up — before licensing does.
- 04
Spot trends
Notice the classroom where injuries cluster. Spot the patterns paper hides.
- 05
Generate reports
Generate the licensing-visit packet on demand. Build a board report without retyping anything.
- 06
Feed downstream
Connect to the enrollment system, the parent communication app, or the accountant's spreadsheet that already exists.
Why centers pick us.
Offline first
Records save the moment they are entered. When a phone or tablet reconnects, everything syncs on its own. A weak connection in a back classroom does not lose data.
Complete by design
Required Virginia fields are required in the form. Timestamps and signatures are captured automatically. There is nothing to clean up later.
One pack across sites
The same forms work for one classroom or fifteen. Roll the pack to a second site without rebuilding.
Walk through your Virginia compliance pack
30-minute demo on a real device. We'll cover injury records, medication logs, attendance, and drills — and any specific record you flag in the booking notes.
We are accepting a small number of Virginia child day centers as launch partners before public release. We are honest about what is ready and what is not.
